Chronos Sustainability Ltd, City Gates, 2-4 Southgate, Chichester, PO19 8DJ, United Kingdom is a private limited company registered in England and Wales (11045691), hereafter collectively referred to as ‘Chronos Sustainability’, ‘we’ or the ‘Company’.

We are committed to protecting and respecting your privacy. This Privacy Notice explains how we collect and use your Personal Data and sets out your rights under the relevant laws of Data Protection.

Definitions

“Applications” – the Company website is hosted on Squarespace and Vimeo is used to enable video sharing. We use cloud-based applications and software solutions to collect, store and process Personal Data. These applications include, but are not limited to, Office 365, HubSpot, GoToWebinar and Eventbrite. Altogether, these are the ‘Applications’.

“Cookie” – a small text file placed on your computer or device by a website when you visit certain parts of the site and/or when you use certain features of the site. 

“DPA 2018” – UK Data Protection Act 2018.

“GDPR” – UK General Data Protection Regulation (as of 01.01.2021).

“IP Address” - a number that is automatically assigned to the computer that you are using by your Internet Service Provider.

”Log Data” – automatically collected by websites and applications to record the interaction between a user and system.

“Personal Data” - GDPR defines this as “any information relating to an identified or identifiable natural person’’.

“Subject Access Request” – a formal request in writing to the Company to obtain access to your personal data.

Chronos Sustainability delivers transformative, systematic change in the social and environmental performance of key industry sectors.

2.     Scope

This Privacy Notice refers to Personal Data collected from you via the Chronos Sustainability website and social media platforms, marketing communications and interactions with the Company during the ordinary course of business, whether in person, on the telephone, via e-mail or using other forms of correspondence.

Personal Data is generally provided by you or, in the case of Log Data, may be collected automatically when you access our website or certain Applications used by the Company.

3.     Type of personal data collected

  • Personal identification information (name, email, phone number, job title, organisation, etc.)
  • Log Data (IP address, location, device type, date and documents accessed, etc.)

4.     How will we use your data?

Personal Data is used to:

  • Fulfil and maintain contractual obligations with clients and suppliers;
  • Maintain a contact database of our clients and partners;
  • Provide prospective and current clients with information and services; and
  • Monitor the effectiveness of our website and social media platforms.

5.     Log Data and Cookies

Log data may be collected, monitored and analysed whenever you access the Company website. In addition, we use third party Applications that may carry out similar actions.

The Company website uses different types of Cookies to collect this type of information, deliver an optimised service and to improve its functionality:

  • Strictly necessary cookies – necessary for the website to function and always enabled. These Cookies do not store any personally identifiable information.
  • Performance cookies – allow the Company to count visits and traffic sources so that the performance of our site can be measured and improved. This type of information is aggregated and anonymised.

Most browsers will allow you to turn off cookies.  If you want to know how to do this please look at the menu on your browser, or look at the instruction on http://www.allaboutcookies.org/. Please note, however, that turning off cookies will restrict your use of our website.

The Company uses Applications and will, from time to time, provide you with hyperlinks to websites operated by third parties. These third parties are responsible for processing data in accordance with their own privacy and cookie policies.

6.     How we store and process your data

In carrying out our business, Chronos uses Applications which process the personal data that we hold.  

We carry out due diligence on Applications to ensure that GDPR-compliant measures are in place, including ensuring that appropriate standard contractual clauses are in place where personal data is processed or transferred by a third-party.

This Privacy Notice applies to Chronos Sustainability. For more information on the storage and processing practices of third-party Applications, you can read their relevant privacy documents.

7.     Data Retention

The Company does not hold Personal Data for longer than is necessary and periodically reviews data held.  Personal Data is retained for as long as is required to maintain a business relationship and /or we have your marketing consent.  At the end of a retention period, we permanently delete data or archive it, so it is beyond use.

8.     Communications and opting-out

The Company would like to send you information about our major programmes, news and events from time to time.

If you have agreed to receive marketing, you have the right at any time to request the Company stops contacting you for marketing purposes. To op-out contact privacy@chronossustainability.com, or unsubscribe from a sent communication.

9.     Data Security

Chronos Sustainability is strongly committed to protecting your Personal Data. We have put in place appropriate procedures and security measures to protect your Personal Data. Access to these data is restricted to employees or authorised representatives of the Company on a need-to-know basis.

We protect your Personal Data from unauthorised access, disclosure or amendments by using the following security measure:

  • Encryption;
  • Two factor authentication;
  • Secure storage locations; and
  • Regular audit and review of data storage and processing practices.

Data provided in a non-digital form, i.e. business cards, is stored securely at business locations or transferred to an Application at the earliest convenience and consequently destroyed.

10.     Your data protection rights

The Company complies with the Data Protection Principles which are set out in the GDPR and the DPA 2018.

We would like to make sure you are fully aware of all of your Data protection rights, these being:

The right to be informed about how the data collected about you is going to be used and stored.

The right of access to see what data and supplementary information we hold about you.

The right to rectification – where data held is incorrect or incomplete.

The right to erase where data held is no longer required or relevant, individuals have the right to ‘be forgotten’.

The right to restrict processing – individuals have the right to request that the processing of their data is paused or halted altogether.

The right to data portability allows individuals the right to access the personal data held and reuse it without hindrance.

The right to object – an individual has the right to object to processing required for direct marketing (including profiling), historical or scientific research and the performance of a task in the public interest by an official authority.

Right of notification where data is being handled by third parties in a country outside of the EU.

You may make an initial enquiry by phone but will be advised to make a subject access request (SAR) in writing, for record purposes.

If you make a request, we have one month to respond to you.

11.     Changes to our Privacy Notice

This Privacy Notice was approved on 21 December 2020. It is kept under regular review and maintained on the Company’s website.
